Welcome to our second quarterly newsletter aimed at informing our customers, partners and associates of important solution updates, forthcoming events, current thinking and issues we feel are important.

There has been a great deal going on this last few months with the well publicised "debacle" at BACS at the end of March and validation issues for your Account Validation components. These issues are discussed below along with new offerings and forthcoming services.

Customer Update

Effective BACS Upgrade now available

After the BACSTEL iP upgrades many businesses are now looking at the way their BACS software works for their business.

Every business has processes that demand high levels of control and authorisation for BACS payments and so it may be time to review the software you are running. BACS software delivers critical funds and the processes are in many cases Business Critical.

We are trying to visit all our customers to conduct a BACS Review meeting and if you have not yet been contacted, please feel free to call us to arrange this free review.

A number of customers have found that ALBACSip is limited in certain areas of audit and process management. This is where Albany Software's ALBACScs can work for you.

ALBACScs is a web based server solution providing concurrent user access and incorporates a number of in-built workflows which specify the steps required for submitting BACS payment files, downloading BACS reports and other functions.

Workflows are designed to align to your business processes and offers you greater control of your ALBACScs capabilities.

Driving processes through your organisation, workflows inform individuals of the steps they are required to perform and escalate any tasks which are not completed.

SmartCards

In some of our BACS Review meetings, we have come across several situations where customers are using SmartCards belonging to other people and this is extremely poor practice.

Essentially, this situation often occurs when an existing card holder leaves and the following incumbent utilises the old card and login details.

This is in complete breach of the BACS Non-repudiation scheme, as well as all of the banks security guidelines and should be addressed immediately.

Bank Holidays and Bank Account updates

Please remember to ensure that you have the correct Bank Holidays diarised in your BACS software. To download the Bank Holidays from ALBANY Software, please click here.

Please also ensure that you keep your Verify downloads (Bank Sort Codes and Account Numbers) updated. The product will automatically prompt users for updates as required. If prompted to update when you log into ALBACSip do NOT press CANCEL, instead follow the wizard through and the updates will load automatically. * SEPA is an area in which consumers, companies and other economic actors will be able to make and receive payments in Euros, whether between or within national boundaries under the same basic conditions, rights and obligations, regardless of their location.

The aim of SEPA is to advance European integration with a competitive and innovative Euro area retail payments market that can bring with it higher service levels, more efficient products and cheaper alternatives for making payments.

 

 

Solutions Update

In the last edition of "Intelligent Thinking" we introduced Salesforce.com as the new age in Enterprise Application software. This leading Software as a Service (SaaS) provider continues to out grow and out perform competitors at a remarkable pace. This is due to the fact that it is simply the best around and is indeed the future for software. Never before has such extensive and flexible "Enterprise" capability been available, not to mention affordable to Sambas and Carports alike.

iPayments is delighted to partner with Salesforce.com here in the UK and we have developed innovative solutions, paired with a team of consultants focused at delivering value added capability in the payments sector to Salesforce.com users.

These include Payments and Collection Management along with Invoice Management.


We are delighted to announce that we are also partnering with the Saleforce.com Foundation which is a division of the business focused at the Not For Profit sector. Qualifying organisations may be awarded FREE software licences through the "Power of Us" programme. Moreover discounted services to help ensure they concentrate on managing their organisation as opposed to feeling the pressure from expensive and underperforming software.

At iPayments we share this view and indeed have launched our own offering where qualifying non profit sector organisations will receive FREE licences for DebitStream and heavily discounted services and training.

 

Annual Software Support Contract

We are delighted to introduce a new support service offering to our customers. Over the last year customers have required more in depth support than the standard telephone support offers and have incurred additional costs through call out charges.

As a result of this, we are offering a range of support contracts to better suit your needs. The example below illustrates the benefit of the Basic Plan over Standard. We will be contacting all our customers at the point of renewal to discuss the options available to you.

Example:

Option 1 (Basic) - Many of our BACS customers use ALBACSip (single user licence, payment only) and incur a low annual maintenance charge for download of sort code validation components and telephone support only. In the event that they required an onsite call out, they would incur an additional charge of the standard day rate (£795.00)

Option 2 (Advanced) - If this customer has purchased the Basic Plan at £750.00 the site visit is effectively prepaid and they will benefit from a £295.00 saving as opposed to Option 1 plan.

Option 3 (Premier) - This plan is price on application and aimed at customers who have a solution mix of more than one system.



Pay by Direct Debit

We are delighted to offer you the facility to pay for your annual support by Direct Debit.

If you opt for Direct Debit, you will receive a 10% discount on your annual contract on your renewal. You will receive a Direct Debit Instruction with your next renewal notice.

Disaster Recovery

In the last Quarter, we had over twenty customers call us either to arrange EMERGENCY facilities or to have us come to site to rectify issues ranging from corrupted hard drives to lost connectivity.

All have now adopted our Disaster Recovery plan. Perhaps you should consider the following:

  • Does your business have a Disaster Recovery Strategy for everything else BUT its ability to submit BACS payments?

  • How will you pay your staff in the event of a catastrophic system failure?

  • In the event of a lengthy outage, how are you going to pay your suppliers and maintain your prompt payment discounts?

These are only a few questions you need to seriously address. We have been discussing DR with many of our customers who readily admit that they need to ensure effective BACS processing in the event of a significant system failure.
